Job Description: We are seeking an organized and detail-oriented Office Assistant to join our team.
The successful candidate will perform a variety of administrative tasks to ensure the smooth operation of our office, including the following responsibilities: · Exhibit exceptional interpersonal skills while interacting with visitors, customers, vendors, & dealers.
o Greet all office visitors.
o Communicate via phone & email with customers & dealers regarding cancellations & GAP claims.
o Process cancellations for all customers and send out cancellations at the end of the month.
o Interact with marketing and printing partners for the creation, proofreading, production, & shipment of marketing materials.
· Manage incoming & outgoing mail.
o Draft and proofread correspondence.
o Perform mail merges.
o Visit UPS store, as needed.
· Support accounts payable and accounts receivable functions.
o Analyze financial information to identify discrepancies and maintain confidentiality of all financial data.
o Process accounts receivable for one customer, demonstrating strong Excel skills and attention to detail.
o Compile and prepare routine reports and summaries.
o Assist in the preparation of financial and statistical statements and reports.
· Manage office, marketing, & kitchen supply inventories.
· Set up and break down conference rooms for meetings.
· Organize and maintain both paper and electronic files.
Job Qualifications: · High school diploma or general education degree (GED) required.
· Two (2) years of experience with accounting/bookkeeping principles in an office setting.
· Excellent organizational and critical thinking skills, ability to prioritize, and comfortable working independently.
· Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation.
· Strong attention to detail and accuracy.
· Proficient computer skills and ability to operate general office equipment.
· Intermediate to advanced knowledge of Microsoft Office applications, including Excel.
· Ability to manage a variety of priorities while meeting deadlines.
Consistently punctual and reliable.
Job Type: Full-time Pay: $35,000.
00 - $38,000.
