The occupant of this position will act as an Administrative Assistant to the faculty and administration in SOA Academics.
The occupant will be part of a fast-paced team.
Job duties will include but are not limited to: answering phone calls from external clients, internal clients, potential students, current students, and current/prospective staff; managing the Associate Dean’s calendar; arranging travel; reconciling purchasing card transactions; creating specific requisitions; planning meetings; processing new students; and providing general assistance to the faculty and administration in SOA Academics.
This position requires someone who is able to work independently, well under pressure, and in a fast-paced environment while exercising sound judgment at all times
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
P-card reconciliation
Monitors and reconciles purchasing cards for the faculty and administration in SOA Academics and other purchasing card transactions as needed.
Budget Monitoring in Banner
Monitors the Academics budget and coordinates with SOA leadership as necessary
Creates requisitions specific to Academics as necessary
Possesses exceptional telephone and speaking skills
Takes calls and properly routes to the appropriate person or promptly delivers a message
Speaks with prospective students and their families
Possesses exceptional telephone and speaking skills
Promptly responds to both internal and external emails
Drafts written correspondence for the Associate Dean
Maintains/orders office supplies as needed
Manage airshow registration, travel, and uniforms for the SOA representatives
Order and stock inventory for air shows and other promotional events
Distributes information via email to staff and students as required
Manages student worker duties and work schedule as needed
Processes new student applications and inquiries as needed
Submits work orders and IT requests as needed
Provides assistance to new faculty as required
Provides general assistance to faculty and administration in SOA Academics with projects and reports as necessary
Manages the administrative office in an orderly, professional, and organized way
Other duties as assigned
SUPERVISORY RESPONSIBILITIES
This position is responsible for managing student workers assigned to SOA as needed.
This includes scheduling duty management and time management.
QUALIFICATIONS AND CREDENTIALS
Education and Experience
Two or more years’ experience in similar position preferred.
Well-developed communications skills.
