Front Office Assistant
You will be the first point of contact for our visitors at QAD.
Our Office Assistant's duties include offering administrative support across the organization, welcoming guests who visit our office, distributing correspondence, and directing phone calls.
Ultimately, our Office Assistant's duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.
Responsibilities Include:
Greet and welcome guests as they arrive at the office.
Direct visitors to the appropriate person and department.
Answer, screen, and forward incoming phone calls.
Ensure reception and break areas are clean and presentable, restocking materials as needed.
Provide basic and accurate information in-person and via phone/email.
Prepare outgoing mail and maintain accurately postage log records.
Receive, sort, and distribute daily incoming mail.
Maintain office security by following safety procedures and controlling access.
Update calendars as needed.
Perform other clerical duties such as filing, copying, etc.
Requirements:
Positive and friendly attitude
Professional appearance and adherence to dress code.
Proven work experience in an office environment preferred.
Proficiency in Microsoft Office Suite preferred - Outlook, Excel, Word.
Hands-on experience with office equipment (printer, scanner, etc.
)
Solid written and verbal communication skills.
Excellent organizational skills.
Multitasking and time-management skills, with the ability to prioritize tasks.
