Provides high-level administrative and paralegal support to facilitate the work of the department and program.

Essential Functions
Answers phones, greets visitors, opens and distributes mail, complies with requests for information, forms, etc.
Communicates with clients, including returning phone calls to obtain information for attorneys, scheduling meetings, etc.
Completes forms and documents.
Prepares reports, presentations, mailings, etc.
(including using word processing, electronic mail, desktop publishing, dictation, transcription, etc.
), and/or modifies, maintains, or creates spreadsheets and databases for analyzing or managing data.
May perform calculations and computations, including basic statistical and/or data analysis and account reconciliation.
Reviews reports or budgets and compares to standards; identifies and documents variances.
Prepares documents or reports and/or researches issues and provides analysis or summary.
Produces correspondence following standard letter writing etiquette, reviewing drafts for grammar, spelling, punctuation and content.
Drafts, prepares, types, and proofreads highly confidential materials relating to legal matters, and court proceedings for attorneys.
Develops and coordinates office processes.
Maintains files and records, following standards for length of file retention.
Oversees management of client files (including both active and closed cases).
Maintains and reconciles budgets; monitors expenditures and performs simple analysis on accounts; prepares both special and recurring reports for supervisor and authorizes payments within prescribed limits; makes recommendations for purchases.
Stock office supplies and other materials maintain common office space and keep office organized.
Maintains calendar(s) for attorneys, regularly prioritizing and arranging meetings, conferences, and appointments.
Organizes spreadsheets with information, rooms, meetings, trial information, client representation, and client meeting times.
Prepare attorneys for meetings.
Schedules departmental functions and coordinates refreshments or food where necessary.
Works with University Catering and outside vendors and plans set up with University Facilities.
Organizes events, planning and organizes conference and group meetings, and arranges for travel and hotel accommodations.
Coordinates necessary travel arrangements and develops itineraries.
Anticipates and prepares background materials needed.
Ensures travel guidelines are met and manages all receipts and business office travel documents.
Completes web updates and provides web support for all sites.
Coordinates searches for new hires.
Works with Human Resources on all aspects of job posting, confirmation with candidates and final selection phases of process.
Processes Continuing Legal Education credits for attorneys.
Other duties as assigned.

Mimimium Pay: $25.
00 per hour.
Minimum Qualifications:
High school diploma plus three years of administrative support experience, or a combination of education and experience from which comparable skills are acquired.
Bachelor’s degree preferred.
The applicant must be proficient in typing and word processing, and know how to use Microsoft Office software extensively, including Word, Excel, and Outlook.
The applicant must have excellent proofreading, grammar, and spelling skills.
Must be detail-oriented, have the ability to multi-task, and possess strong organizational skills.
Must be a self-starter and have the ability to work independently, as well as to communicate and interact effectively in a professional, confidential, and courteous manner.
Demonstrated ability to handle confidential and sensitive information.
The ability to work with frequent interruptions and manage multiple projects, priorities, and deadlines.
Previous experience in a legal or professional office setting is preferred.
